What is a workflow?

A "workflow" refers to a series of actions that must be carried out in order to achieve a specific task or goal within an organisation.

These activities can be manual or automated and usually involve a combination of human tasks, machine processing and data transfer.

Workflows often have to be executed in a fixed sequence or under certain conditions.

Manual invoicing

Manual invoicing and payment tracking will look something like this in most companies:

  • Creating the invoice: An employee creates an invoice after a service or delivery has been provided.

  • Sending the invoice: An employee sends the invoice to the customer by email or post.

  • Monitoring payment: The employee regularly checks whether payment has been received.

  • Dunning procedure: Reminders or reminders must be sent if payment is not received.

Automated invoicing

With automation, manual steps are no longer necessary in many cases:

  • Automatic invoicing: Once an order or service has been completed, the system automatically generates an invoice based on the stored data.

  • Electronic dispatch: The invoice is automatically sent to the customer by email, with digital payment options (e.g. with a QR invoice).

  • Payment monitoring: The system monitors incoming payments and automatically updates the status of the invoice (e.g. by analysing account statements in camt format).

  • Automated reminders: In the event of non-payment, the system automatically sends reminders or reminders according to predefined time intervals.

What is possible?

If a business process is to be digitised or automated, the first step is to check where "media breaks" occur and whether these can be avoided, for example by using an API.

By definition, a media break is an interruption in data processing that occurs because the processing medium changes. For example, an electronically signed document can only be delivered to the recipient immediately and with legal certainty if it is faxed. The media break consists of printing out the document and placing it in a fax machine. The media discontinuity can be avoided by using a soft fax or, even better, by using digital signature solutions.

From a broader perspective, the "copy & paste" of customer data from one programme to another can be regarded as a media break. This process is manual, error-prone and ties up resources.
